Position Summary:
The Administrative and Grant Compliance Coordinator provides critical support to Thrive’s operations by ensuring administrative efficiency and compliance with grant requirements. Reporting to the Chief Operations Officer, this role is responsible for maintaining accurate records, monitoring grant activities, and assisting with organizational processes to ensure transparency and accountability. The Coordinator plays a key role in streamlining workflows, supporting staff, and ensuring compliance with local, state, and federal regulations tied to grant-funded initiatives.
Essential Duties & Responsibilities:
Manage organizational documentation, maintain filing systems, and assist with scheduling, correspondence, and meeting preparations to support the leadership team.
Track grant agreements, deliverables, and reporting deadlines to ensure compliance with funding requirements.
Maintain detailed records of grant-related expenses, invoices, and contracts for audit and reporting purposes.
Assist in preparing grant reports, summaries, and presentations to internal and external stakeholders.
Ensure adherence to organizational policies and funding regulations, identifying areas for improvement and recommending solutions.
Work with finance staff to monitor grant budgets, reconcile accounts, and address discrepancies.
Collaborate with program and operations staff to ensure grant-related activities align with organizational goals and are executed effectively.
Provide guidance to staff on grant compliance procedures, including documentation and allowable expenses.
Prepare materials and coordinate responses for grant audits and reviews as required.
Perform additional responsibilities to support Thrive’s operational and administrative functions.
Minimum Qualifications:
College degree in Business Administration, Public Administration, or a related field (or equivalent experience).
Previous experience in grant compliance, administrative support, or nonprofit operations is strongly preferred.
Demonstrated ability to manage multiple priorities, maintain accurate records, and meet deadlines.
Familiarity with grant administration, compliance requirements, and financial tracking is highly desirable.
Strong ability to organize, prioritize, and manage tasks efficiently in a fast-paced environment.
Proficiency in collaborative work platforms such as Google Workspace, Slack, and project management tools.
Familiarity with federal and state funding regulations, including OMB Uniform Guidance, is a plus.
Valid driver’s license and eligibility to legally work in the U.S., with the ability to travel regionally as required.
COMPENSATION
The salary range for this role is $42,000-$48,000, plus generous benefits.
